Importing contacts from a spreadsheet

Getting an existing list in without creating duplicates.

Contacts → Import from CSV.

Preparing the file

Save your spreadsheet as CSV. The first row should be column headings — anything sensible works, you match them up in the CRM.

Useful columns, none of them required except a name or an email:

  • First name, Last name
  • Email
  • Mobile phone
  • Company
  • Lead source — where they came from, which later feeds the "Where leads come from" report

What happens on import

You are shown the first few rows and asked which of your columns is which. Nothing is written until you confirm.

Contacts with the same email address as one already in the CRM are skipped rather than duplicated. If a company name is new, a company record is created for it and the contact is linked.

Start with ten rows. If the preview looks right, come back and do the rest. A bad import is far more work to undo than to avoid.

Afterwards

Contacts → Merge duplicates finds people who came in twice under slightly different spellings. It only offers genuine matches on email — you confirm each one.
